Appointment & Cancellation Policy

At Sprout In Motion, we are committed to providing exceptional services that support the growth and development of children and their families. We take pride in offering quality care and support to each child we serve. We also understand that unforeseen circumstances can arise. To help us best serve all our clients, please review our appointment and cancellation policy below:

  • Weekly Appointments: We recommend booking weekly sessions well in advance to ensure availability.

  • Package Purchase: Therapy packages should be purchased at the beginning of the scheduled sessions.

  • Late Arrivals: If a client is more than 15 minutes late, the appointment will be automatically cancelled and the full fee applied.

  • Cancellation Notice: Cancellations must be made at least 24 hours in advance. Cancellations within 24 hours of the appointment will incur a 100% cancellation fee, unless due to a medical emergency with documentation, hospitalization, COVID-related issues, or a family bereavement.

  • Inclement Weather Policy: For cancellations due to severe weather, please refer to our Inclement Weather Policy.

  • No-Show/No-Call: Clients who miss an appointment without notice will be charged the full session fee.

  • Frequent Cancellations: Clients missing more than 25% of scheduled appointments may lose their time slot. Repeated no-shows or last-minute cancellations may lead to removal from the schedule.

  • Groups and Camps: If your child is unwell and you provide a doctor’s note, you may apply the credit toward an individual or group package. Cancellations within seven days of the camp or group start date are eligible for an 80% refund; cancellations within less than seven days are non-refundable.
